Secure Data Sharing: What Should Businesses Look For?

Sharing data is part of everyday business, whether it’s sending financial information to an adviser, exchanging confidential documents with customers or working with external suppliers. Files are constantly moving beyond the organisation, often containing personal, financial or commercially sensitive information.

The problem is that once data has been sent, businesses can quickly lose control over what happens next. Not all file-sharing platforms offer the same level of protection, so what should organisations actually look for when choosing a secure file sharing solution?

Encryption is only the starting point

Encryption should be a basic requirement for any secure file sharing platform. Sensitive information needs to be protected both while it is stored and while it travels between sender and recipient, reducing the risk of it being intercepted or accessed by someone who shouldn’t see it.

However, encryption alone doesn’t tell you what happens after a file reaches its destination. Businesses should also consider how much control they retain once information has been shared, including whether they can restrict what a recipient is able to do with it.
Who can access your files?

A good secure file sharing platform should allow organisations to set permissions based on the individual, team or type of information being shared. Not every recipient needs the same level of access, particularly when documents are being exchanged with people outside the organisation.

That might mean making a document view-only or adding a watermark, limiting the number of downloads, preventing it from being shared further or setting an expiry date. Businesses should also be able to revoke access if circumstances change. These controls provide much greater oversight of how sensitive information is shared, rather than simply sending a file and hoping it remains in the right hands.

Can you see what happened to the data?

Knowing that a file was sent isn’t enough. Organisations should be able to see who shared it, who accessed it, when it was opened and what actions were taken afterwards.

A detailed audit trail provides valuable visibility if something goes wrong, but it is also useful for everyday governance. For businesses operating in regulated sectors, being able to demonstrate how sensitive information has been handled can make responding to audits, compliance requests and internal investigations considerably easier.

Where is your data? Who has jurisdiction?

Data sovereignty is another question that can easily be overlooked when choosing a file-sharing service. Businesses should understand where their information is stored, where it travels and which jurisdictions may apply to it.

This becomes particularly important when using cloud platforms where data can potentially move across different regions or be subject to foreign legal sanctions and sequestration. Features such as geofencing can provide an additional layer of control by restricting sensitive data from being transferred to unauthorised locations.

Will employees actually use it?

Strong security controls are of little value if employees find them too difficult to use. If secure file sharing adds multiple steps to a simple task, people may find their own shortcuts, falling back on email attachments, personal accounts or consumer file-sharing services because they seem quicker.

Ease of use should therefore be part of the buying decision. Secure sharing should fit naturally into existing working practices, while giving the organisation the controls it needs. DOQEX, for example, supports file and folder sharing alongside data collection, Microsoft integrations and policy-driven controls.

Look beyond simply sending a file

Secure file sharing isn’t simply about getting a document safely from A to B. It is about maintaining control over sensitive information throughout its journey and being able to demonstrate how that information has been handled.

Before choosing a solution, businesses should look beyond encryption and consider permissions, audit trails, access controls, data residency and usability. The aim isn’t to make sharing information harder. It’s to make secure sharing an easy, everyday part of how the business operates.
